Standard operating procedures (SOPs) outline the steps needed to complete specific tasks within an organization. Likewise, it details who should perform them and which tools or equipment should be used.

SOPs play a significant role in any business, as they create consistency in the way tasks are executed. When each step is performed correctly, team members can produce consistent results and prevent unintended errors or misunderstandings.

Going through each step of an SOP also helps employees become more efficient with their time and effort. Everything is clear, so they don’t need to reinvent the wheel for each task. Instead, they simply need to replicate what has already been done.

The problem with SOPs is they can sometimes be quite intricate. It’s easy to overlook a minor step in a larger, more complex task. How can you get around this? By writing your processes down and documenting them properly! This simple exercise allows you to hold your team accountable and ensure that they complete each step correctly.

Another benefit of SOPs is that they provide a framework for training new employees, which is particularly helpful for continuously growing businesses. The information doesn’t need to be repeated, lessening new hires’ dependence on their colleagues or managers. Likewise, your senior employees won’t need to take time out of their busy schedules just to train new team members.

Most companies already have SOPs in place. However, that doesn’t always mean they focus on efficiency! That’s why it’s essential to revisit your current SOPs and make changes when necessary so your business can keep functioning at peak performance.

Whether you want to create effective SOPs or simply determine if your existing ones are working well, use these simple factors to refine your procedures and keep your team on the same page.

SOPs belong on paper — not in your head.

Far too often, SOPs live in people’s heads (usually yours!). Many business owners think they don’t need to write down their procedures because they can perform them like muscle memory — and it can take more time to put every step on paper. While this can

serve you well if you plan on doing the same things in your company for the rest of your life, you must streamline your approach if you intend to scale your business.

And you can only make Improvements in your current processes with accurate documentation! You need to have a blueprint of your operations to make business changes confidently that support your goals. Make it a priority to write down all of your SOPs and update them whenever you encounter any changes.

Don’t let your team get confused by SOPs.

Even if you’re a solopreneur, SOPs will eventually become part of your training process for future hires. Therefore, you’ll want your step-by-step procedures to be clear and comprehensive so new team members can quickly figure out how to do things without relying on you too much. As a result, not only will you empower future employees to master their responsibilities, but you’ll also minimize confusion. Don’t make an SOP that requires interpretation!

One concrete way to ensure your SOPs are easy to understand is by using simple words and phrases. If they are too technical or use confusing jargon, your team members might not know what they need to do.

Moreover, if they have to spend a lot of time reading SOPs, it’s time to shorten them!

Make your SOPs a one-stop shop for each task.

A step-by-step process forms the foundation of an excellent SOP, but it does little if the person reading it doesn’t know how or where to apply it. Ensure all the necessary details to complete the task are in the document, including website links, login information, and ideal process timelines. Ideally, the reader should be able to access everything they need from the document. Then, be sure to save all of your SOPs in an easily accessible space like a Google Drive folder shared with your team.

Include visual guidance in your SOPs as needed.

Visual references can make it easier for many people to understand and apply instructions. Make sure to include screenshots throughout your SOPs as needed! Consider recording a tutorial video with a screen recording program like Loom for more complex processes. These illustrations and guided walkthroughs will simplify the steps involved in executing complex tasks.

As you create or update your SOPs, ensure nothing falls through the cracks so your team can stay on top of every task simply by giving them the resources they need to succeed.

Remember that while SOPs can help your operations run smoothly, they can also be a significant source of wasted time and effort if they are outdated or vague. Start getting your SOPs in order by updating the existing ones first (including those floating around in your head!). Once you’ve put those to paper, you can begin considering other processes in your system that could use some extra guidance.

If you’re struggling to start, consider recording your SOPs as you go through the processes yourself. Then, you can build out your SOP documents using the transcript.
